The AI assistant for accountancy firms
During accounts season, the phone and the inbox get the same question from twenty clients at once: what's still missing? The assistant chases each client for their outstanding documents and logs what comes in. Figures and tax answers stay with you.
One sentence is enough. Nothing is sent, nothing is kept.
- The client : Hi, what do you still need from me for my accounts? I'm off on leave Friday and don't want to hold the file up.
- The agent : Hello. We still need the December bank statement and the November purchase invoices. You can email them or upload them to the client portal before Thursday.
- The client : I don't have the November invoice any more, the supplier has stopped replying to my emails.
- The agent : Noted, I'm passing that on to your accountant. They'll tell you whether a replacement receipt will do for the file.
A message thread, not an app to learn.
Text it. Call it. Email it.
The answer lands in the same thread.
By text
The client gets a short reminder about the one document still missing, with the deadline the firm already set. They reply with a photo, and the assistant logs the arrival against the file.
By phone
When the line is busy with another call, the assistant picks up, repeats what is needed and in what format, then leaves a written summary. No client sits on hold for someone who will not answer.
By email
Invoices and statements mostly arrive as attachments. The assistant files them against the right client and flags to the accountant once a file is finally complete.

Why accounts season floods the switchboard
Twenty clients preparing their accounts ask the same question in the same week: what's missing? Each has their own version — a mislaid invoice, a statement not yet downloaded, an expense receipt still sitting in a pocket. The wording changes; the substance never does.
Answering once costs nothing. Repeating it twenty times, ringing every client who has not yet grasped what they owe the file, keeps an accountant off the file they should be working on. It is chasing, not expertise, and that is where an assistant earns its place.
What the assistant does not do
It answers no tax, accounting or legal question. A VAT rate, a deductible expense, the choice of a scheme: each answer commits the firm, and has to come from the accountant, never from an assistant.
Nor does it judge whether a document is good enough. A missing receipt, a doubtful invoice, an odd case: the assistant flags it and hands over. The decision stays with the accountant, who sees the whole file.
Frequently asked questions
Does the assistant answer clients' tax questions?
No. A question about a rate, a deduction or a scheme goes straight to the accountant: the assistant passes it on and tells the client so, and never guesses an answer that would commit the firm.
How does it know which documents a file is missing?
From the list the firm gives it for each client. It never decides on its own which document to chase: the accountant sets the list, the assistant works through it.
Can a client send it a confidential document?
Documents it receives join the firm's file, the same way an email or a portal upload does today. The firm decides who has access to what within its own systems.
How long does it take to set up?
Allow two to three weeks: one to gather the document list for each type of file, one to tune it to your firm's own wording, then a period where the accountant reviews every exchange before handing over.
And for your own business?
We start from your real requests, not from a template: two weeks are enough to know what an agent takes on and what it leaves to you.
