AI for accounting firms

Automate the prep work. Keep the expertise.

Collecting documents, pre-entry, reconciliation, report preparation: an agent prepares the file up to the point where your judgement begins.

nothing is entered until you have decided

Accounting firms spend a large share of their time on repetitive tasks: collecting documents, data entry, reconciliation, report preparation. These are exactly the tasks AI can support, provided human approval stays on every sensitive step.

In practice, AI can read an invoice and extract its data, prepare an entry, flag a reconciliation anomaly, or generate a first draft of a management report. Your staff read, correct and approve: quality and responsibility stay inside the firm.

We build these systems end to end for French firms, with the confidentiality of your clients' data as the starting constraint: local, hybrid or cloud architecture, documented flows and controls. Tell us about your processes in a first conversation.

Where AI steps in

Inside the firm's chain, never beside it

An agent does not replace a step: it prepares the next one and hands back. Here is where this is worth it, and where it is not.

The firm's client

  1. Collecting documents

    client uploads, emails, scans

    Agent

Retrieves the supporting documents, names and files them

    list of missing documents

    Humain

The associate follows up with the client

  2. Entry

    the month's entries

    Agent

Extracts the data from each document and prepares the entry

    a proposed pre-entry

    Humain

The associate approves or corrects it

  3. Controls

    consistency, reconciliation

    Agent

Reconciles the documents and flags what stands out

anomalies raised, never corrected on their own

    Humain

    The engagement lead decides

  4. Review and closing

    judgement calls, signature

No agent here, and that is not a gap: review, judgement and signature commit the firm.

What it changes, role by role

Firm head
You want to modernise production without unsettling your teams: we frame with you which processes to automate, which data is involved and the approval rules.
Head of accounting production
You organise data entry, closings and the relationship with staff: AI can prepare files and flag anomalies, while approval stays human.
Accountant or associate
You spend time gathering documents and preparing reports: AI gathers, structures and summarises, while you keep the analysis and the decision.
Payroll team
You handle recurring documents and standard questions: AI can prepare first drafts and standard replies, under your control.
Three scenarios

Named the way you name them

Nobody goes looking for “data extraction”. They go looking for a way to stop chasing documents at closing time.

Scenario 01

Collecting the month's documents

  1. Clients submit, send, or forget
  2. Documents arrive in three formats and six file-naming styles
  3. The agent reads, renames and files them per your rulesthe agent takes over
  4. It sets aside duplicates and lists what is missing
  5. The associate follows up, once, on a short listyou take back the reins
Today
Collection reopens with every follow-up, and no one knows where a file stands.
With an agent
An up-to-date list of what is missing, and a follow-up that targets what is truly missing.

Scenario 02

Preparing entries and controls

  1. The file's documents are complete
  2. The agent extracts vendor, amounts, VAT and datesthe agent takes over
  3. It reconciles them with orders and statements
  4. It proposes the entry and flags the discrepancies
  5. The associate approves, corrects or sends it backyou take back the reins
Today
Entries are made document by document, and control comes after, when time allows.
With an agent
A pre-entry already checked, and a list of discrepancies to decide rather than a pile to reread.

Scenario 03

Preparing a closing

  1. The closing date is approaching
  2. The agent checks that the file's documents are completethe agent takes over
  3. It gathers the report's elements and compares them to the previous month
  4. It prepares a first draft summary
  5. The accountant reviews, decides and signsyou take back the reins
Today
Preparation starts late, when the gaps all appear together.
With an agent
A file whose state is known ahead of time, and a first draft to correct rather than write.

The other tasks we keep seeing

Tasks worth studying with your experts and within your constraints.

Intelligent OCR
Automatic extraction of data from your scanned invoices, statements and accounting documents, with consistency checks.
Pre-entry & reconciliation
Preparing entries and helping with reconciliation, with approval from your teams.
Management reports
Generating first drafts of custom reports and financial summaries, from your own data.
Client responses
Assistants that prepare answers to clients' recurring questions, approved by your staff.
Regulatory watch
Automated tracking of the tax and accounting changes relevant to your client portfolio.
Filing and archiving documents
Automatic sorting of documents received, applying your naming rules and flagging missing documents before closing.
Follow-ups and deadline tracking
Identifying pending documents or payments and preparing graduated follow-ups, approved before they go out.
Architecture that fits
The architecture can be local, hybrid or cloud depending on your constraints, the data processed and the services chosen.
What bounds the agent

A firm agent approves nothing.

Two tables, and they read together: what the agent is allowed to do before it starts, and what it did once it has finished.

Before — what is allowed

Each tool in the firm gets the rights the task needs, and not one more.

Example permissions granted to an agent, tool by tool.
Production softwareUpload spaceMessaging
allowed : read an accountallowed : read documentsallowed : read
allowed : prepare an entryallowed : file and renameallowed : prepare a follow-up
denied : close a perioddenied : deletedenied : send on its own

Example. The actual split is decided during framing, tool by tool, and access can be revoked.

After — what it did

Every document touched can be traced back, to the second.

  1. 08:02:11upload detected · 12 documents
  2. 08:02:14documents read and named
  3. 08:02:193 duplicates set aside
  4. 08:02:211 document without a matching order
  5. 08:02:21discrepancy flagged to the associate
  6. awaiting a human decision

An example. The agent entered nothing: the reconciliation was inconclusive, and a pre-entry does not go out until someone has decided.

Your first agent

Where a firm would start

A first scope is chosen small: one task, its data, a measurement after thirty days.

first project · document collectionExample

Collecting and filing the documents of a pilot portfolio

What the agent covers

  • vérifié : Reading the documents submitted
  • vérifié : Naming according to your rules
  • vérifié : Duplicates set aside
  • vérifié : List of missing documents
  • exclu : Entry and approval

What it needs from you

  • your naming rules
  • one month of real documents
  • three to five pilot files

What stays with you

  • approving every entry
  • the relationship with the client
  • review and signature

What we look at after thirty days: the share of files complete as of a given date, and how much time chasing still takes.

How a project runs

Four steps, from framing to measurement

We move in stages, to check the value before investing in a rollout.

  1. 01

    Frame

    • The tasks to support, the tools involved, your clients' data and the approval rules. You leave with an explicit scope and explicit success criteria.
  2. 02

    Test

    • A first assistant on the chosen case, on real data and within a bounded pilot. You adjust its behaviour with us.
  3. 03

    Deploy

    • Integration with your production tools, the controls, the documented data flows and the supervision agreed during framing.
  4. 04

    Measure

    • The gap against the success criteria, reviewed with your team. You decide on scope extensions, one step at a time.
Frequently asked questions

Data entry, data and rollout

Straight answers on what AI can do inside an accounting firm — and on what it should not do.

Can AI do the bookkeeping entry in our place?
It prepares the entry: reading documents, extracting data, detecting inconsistencies and preliminary reconciliation. Final approval stays with your staff, which keeps control and the quality you expect.
Is this use case really worth automating?
Not always, and we say so when it is not. We check the volume, the time it consumes, how stable the process is, how many exceptions it has and what data exists before proposing an agent. A rare or unstable task, or one full of special cases, costs more to automate than to do.
Where is our clients' data hosted?
Depending on your constraints and how sensitive the data is, the architecture can be local, hybrid or cloud. The choice is made during framing and every data flow is documented: no transfer is implicit.
Does AI replace the accountant?
No. It takes on repetitive, documented steps such as collection, sorting and preparation. Advice, analysis and signature stay the accountant's own responsibility.
Can we test it on a small client portfolio first?
Yes, and that is what we recommend. A pilot bounded to one or two processes and a small number of clients lets you check the real value before extending it to the whole firm.
Do we need to know how to code to use these systems?
No. Our approach is no-code: the systems are configured by our teams and your staff interact with them through simple interfaces. A short training session is enough to pick up the control points.
