ClickUp: our review

ClickUp is an all-in-one project management platform covering tasks, docs, dashboards, and automations. Its built-in AI assistant, ClickUp Brain, can summarize discussion threads, draft meeting notes, generate tasks from a prompt, and answer questions using project history.

What we take away from it

What counts in its favor

  • ClickUp Brain, the AI assistant, is included in every paid plan at no extra cost: summarizing a long discussion, generating a meeting report, or creating a task from a prompt needs no add-on module.
  • The vendor contractually forbids its AI partners from using customer data for training and enforces zero data retention at AI subprocessors: your projects, tasks, and comments feed no model.
  • ISO 27001, 27017, 27018, and SOC 2 Type 2 certifications, with an optional data residency in Ireland for clients who need it.

What counts against it

  • By default, data can be transferred to and stored in the United States. European residency is a paid option, so the product a typical client receives isn't hosted in the EU.
  • The feature surface is huge: tasks, docs, whiteboards, goals, chat, forms, automations. For a small business that just wants a simple task manager, the learning curve is steep and many features will go unused.
  • Automations are capped on the entry-level paid plan (Unlimited): limited to 1,000 a month, an active team can burn through that quickly.

The most complete tool in its category for a small business that wants to replace three separate apps with one. Skip it if you want a simple task manager, or if your data can't leave the EU without a residency option you'll have to negotiate.

What happens to your data

Is your data used to train their models?
Subprocessors
ClickUp contractually forbids its AI partners from using customer data to train their models ("ClickUp's AI partners are prohibited from using your data for training their models"). The vendor also enforces a zero data retention policy at its AI subprocessors. Hosting runs on Amazon Web Services (AWS), with data centers in Ireland, Australia, Singapore, and the United States.
Retention
Personal data is kept for as long as needed to provide the service. At the end of a contract, data is deleted or returned on the client's instruction. AI subprocessors retain no data (zero data retention).

ClickUp in detail

ClickUp is a project-management platform that has gradually absorbed the functions of several separate pieces of software: tasks, documentation, dashboards, messaging, goals and automations. Its AI assistant, ClickUp Brain, was added to this set with no extra paid module — it's included in every paid plan.

What it actually does

ClickUp organises work into spaces, folders and lists, with around ten available views (Kanban, Gantt, calendar, table, timeline, mind map). Each task can hold subtasks, dependencies, custom fields and automations.

The Brain assistant plugs into this set in three ways. It can answer questions in natural language about a project's status ("where's the Dupont file, and who's blocking it?") by reading linked tasks, comments and documents. It can generate content: summarising a long discussion into a few points, drafting meeting minutes, producing a task list from a note. It can also automate creating tasks or updating fields on written instruction.

Plans scale up: the free plan covers the essentials with limited storage, the Unlimited plan at $7/month/user removes the caps, the Business plan at $12 adds Google SSO, advanced dashboards and 5,000 automations a month, and the Enterprise plan offers SCIM, audits and data residency.

Why it interests us

First, the features-to-price ratio is hard to beat in the category. For $7 per user per month, an SME gets a project manager, a collaborative document base, a built-in chat tool and an AI assistant able to read the project history — the equivalent of three or four separate subscriptions.

Second, the stance on training is clear and verifiable. The security page explicitly forbids AI partners from using customer data for training and applies zero retention. In a category where productivity tools absorb large amounts of business data, that transparency isn't a minor detail.

Finally, the certifications are solid: ISO 27001, 27017, 27018 and SOC 2 Type 2, with a data-residency option in Ireland through AWS. For an SME negotiating a contract with a large account that demands these guarantees, that can make the difference.

Where it falls short

The trade-off for all this functional richness is complexity. The interface is dense, the configuration options are numerous, and a five-person SME adopting ClickUp to replace Trello risks spending the first few weeks setting up spaces and automations instead of working. The free plan, with its 60 MB of storage, fills up fast as soon as a few files land in it.

Default hosting is a real issue for demanding organisations. The privacy policy states that data may be transferred to and stored in the United States. The European residency option exists, but it isn't the default setting and may carry an extra cost. An SME subject to the GDPR will need to ask the question before signing.

Finally, the Unlimited plan's automation cap (1,000/month) may sound generous, but a ten-person team automating task creation, notifications and status changes can hit it faster than expected — and the $12 Business plan is the only one that seriously raises the ceiling.

Our recommendation

For an SME of 10 to 50 people using three different tools for tasks, documents and communication and wanting to bring everything together, ClickUp is an excellent choice. The AI assistant included at no extra cost is a real differentiator. For a freelancer or a micro-business, the tool's richness works against it: lighter alternatives will do the same job with less setup.

Who it's for, and who it isn't

Suited for

  • A 10-to-200-person business already juggling several disconnected tools (Trello for tasks, Google Docs for notes, Slack for messaging)
  • A project manager or team lead who needs multiple views (Kanban, Gantt, calendar, table) on the same data
  • A distributed team that wants an AI assistant able to summarize project activity without reading every thread

Not a fit

  • A freelancer or micro-business that wants a simple to-do list: Trello or Todoist do the same job with less setup
  • An organization bound by professional secrecy that requires European-only hosting by default, with no option to negotiate
  • A team already well set up on Microsoft 365 or Google Workspace that doesn't want to add another platform

Frequently asked questions

Does ClickUp use my projects to train its AI?
No. ClickUp states this explicitly on its security page: its AI partners aren't allowed to use customer data for training, and a zero data retention policy applies at those subprocessors. Neither your tasks, your comments, nor your docs go into improving a model.
Where is my data hosted?
By default, data can be transferred to and stored in the United States, per the privacy policy. ClickUp offers a Data Residency option letting you choose hosting in Ireland, Australia, or Singapore, but it isn't enabled by default and may carry an extra cost.
How much does ClickUp cost for a team of ten?
The Unlimited plan is $7 per user per month billed annually, or $70/month for ten people, AI assistant included. The Business plan at $12/user/month adds advanced dashboards, Google SSO, and more automations. The free plan stays usable for very small teams but caps storage at 60 MB.
Is ClickUp Brain, the AI assistant, a paid add-on?
No, it's included in every paid plan (Unlimited, Business, Enterprise) at no extra cost. The free plan doesn't include it. The assistant can answer natural-language questions about your projects, summarize discussions, generate tasks, and draft documents.
Is the interface available in French?
Yes. ClickUp offers a French interface, a French version of its site (clickup.com/fr), and partially translated documentation. The AI assistant understands French but its replies are usually in English.
